Accounting software can be a great tool for your small business, allowing you to keep track of all your financial data, and easily produce reports for effective planning. But because you’ll be using your accounting software frequently, it’s important to ensure that you pick the accounting software that’s right for your business and your needs.

Out-of-the-box accounting software is most suitable for small and medium-sized businesses that have standard accounting needs. If your business needs unique data reports, make sure the accounting software you choose offers customizable reports. If you run a service-related business, check to be sure the accounting software includes features such as a time and billing module.

Does the accounting software allow you to print or electronically send cheques, purchase orders, and invoices? Does it have ‘Net connectivity so you can bank online? Is it integrated with other software that you often use, such as Microsoft Office? Is it able to convert data from other accounting programs or databases? In other words, will the accounting software be able to meet all of your needs, now and in the future?

All accounting software claims to be “user-friendly”, but you’ll still need to invest some time in learning how to use it. Take a close look at the accounting software before you buy it. Is the user interface intuitive and comfortable? Will you (and your employees) be able to sit down and learn it, or will you need a further investment in training?

In terms of the learning curve, online help makes the program. Does the accounting software have features such as screen tips, a searchable help index, demos, and example accounts to get you started? Are there print and online manuals available? And how accessible is the company’s support? Talk to others who have used the accounting software if you can.

Is the accounting software networkable? How easy or expensive is it to move from one user to multi-users? With some accounting software, adding new users is just a matter of buying the appropriate number of user licenses; with others, you have to purchase multiple copies of the accounting software program, which is much more expensive.

Loose papers, receipts, notes, credit card bills, financial statements, tax returns – these are the byproducts of owning a business. They take up space on your desk and in your mind and every time you look at the litter you feel disorganized.

Is there a better way to organize your business finances? You bet. Follow the steps below to create a simple, yet functional way to organize your business and live a more carefree life.

Get a Binder – Purchase a three-ring binder based on the volume of paperwork you produce annually. A 1.5″ or 2″ binder would be adequate for most businesses. You will use one binder for each year you are in business, so that every detail pertaining to your business that year is in one place for easy retrieval. In the viewing window type a cover that shows the name of your business and the year.

Get a Three Hole Punch – Purchase a three-hole punch. This is to hole-punch all larger receipts, documents and financial statements and have them fit neatly into your binder.

Get a Zipper Compartment – Purchase a plastic zipper compartment from an office supply store to hold small receipts.

Purchase Accounting Software – Get yourself accounting software so that you can track your finances. Professional business owners track their profits and losses using the right tools and analyze their financials regularly. Such accounting software is MYOB, Peachtree, Microsoft Office Small Business, and Simply Accounting. Try to begin tracking sales and expenses from the beginning of your business or the beginning of the year.

Arrange paperwork in your binder according to month. Keep all receipts, credit card statements and bank statements (make sure to reconcile these monthly), and sales tax reports (if you sell products). At the end of each month, run a Profit and Loss Statement and a Balance Sheet (collectively known as Financial Statements). The Financial Statements become the separator for each month. File small receipts that can’t be hole-punched in the zipper compartment at the back of your binder.

At the end of each year, reconcile your accounts, print your annual Financial Statements, and close out your year. Put the binder away and start a new one for the New Year. Give your accountant or CPA a copy of your QuickBooks file to prepare your income tax return.

Don’t let accounting problems slow down your business. Stay ahead with our free online accounting service. Get it at quickbook web.

by Cathy Howard

The wireless dog fence is an invisible fence that contains your dog within its perimeter. Unlike the underground invisible fence, the wireless dog fence does require cables to be laid underground. Instead, the wireless dog fence is activated by a transmitter.

The transmitter is placed in a central location on the property. The transmitter may be placed in an inconspicuous location in the home. The transmitter may be set up to allow the dog movement within a smaller or larger sized area. When the intended area is determined and the transmitter is in place, the wireless fence collar is placed on the dog.

The collar acts as a receiver for the signal sent out by the transmitter. If the dog reaches an area that is close to the perimeter of the containment area, the dog receives a low grade shock. This small shock is enough to send the dog in the other direction. Through the wireless dog fence, the dog quickly learns which areas are out of bounds.

Many dogs benefit from learning about the containment area before being left inside the wireless fence. Typical training for the wireless fence includes voice commands and the use of flags to mark out the area where the dog can move around without receiving a shock. Within a week of the commencement of training, the dog will easily and safely learn about its boundaries without any negative effects. Many wireless fence systems will give a dog a warning sound before the mild electrical shock is given.

It is important that a dog learn about the wireless fence before it is contained in one. The mild shock has been known to frighten an unsuspecting dog. Some dogs may not want to go into the yard again if they have been badly frightened from the correctional shock. Training with a wireless fence can begin when a dog is five or six months old.

The wireless fencing system will contain as many dogs as there are on the property. As long as all dogs are wearing a receiver collar, the wireless fence will protect the dogs from leaving the fence perimeter.

It is easy to maintain a wireless fence. Without any wires that could be damaged, all the customer has to do is replace the receiver collar or transmitter as necessary. Transmitter and receiver batteries will have to be replaced occasionally too. It is recommended that the owner of a wireless fence keep replacement parts handy so that when necessary, the transmitter or receiver collar can be replaced without shutting the system down. This will prevent the occurrence of the dog running away when the dog discovers that the fence is not working.

With just two main components, it is easy to set up a wireless dog fence. Wireless dog fences keep a dog contained without the need to build a traditional fence or the digging that is necessary with a underground dog fence. Pets will remain safely inside their perimeter and the owner does not have to worry about runaway pets anymore.

If you are in business for yourself, it won’t take long before you discover how easily paperwork becomes out of control. Even if you are running things alone and even if you are just starting off and even if you aren’t making any money, keeping accurate and timely records in your business is absolutely essential. It is one thing to have trouble with an angry customer. It is something else all together to have an angry IRS agent.

Before you spend one dime in your business, figure out how you are going to set up your accounting system. This is probably going to involve some time of computer program. It will also involve figuring out what kinds of things are you are going to need. Do you have invoices? Accounts receivable? Employees? Accounts payable? Certainly you will be buying things. Do you need to worry about depreciation? Leases? As you can see, the list can become daunting very quickly.

Don’t panic. Once these systems are set up, it is usually pretty easy to keep track of things. The key is setting up a system that is easy to use and that you understand. Using a bookkeeper or accountant may be a wise investment. At least get one to help you set up your systems.

Generally a bookkeeper can do this for you. It will be well worth the money and will save you a ton of headaches, especially at tax time. Find one that is familiar with your type of business. Not all businesses have the same rules and regulations for taxes, etc. Also find one that is willing to take the time to explain things to you.

Even though accounting is really just keeping track of money, it can be fairly complex and you need to be sure you understand what is going on. If you get into trouble with the IRS, they are going to be looking at you, not your bookkeeper. You are ultimately responsible for the finances of your business.

The second key is to keep things current. Waiting six months to enter receipts can make the task seem overwhelming. If you find yourself having trouble keeping up, you might want to consider using a bookkeeper, at least on a part-time basis.

You can usually find one that can work with you, even if you only need them for an hour or two a week. Generally speaking, it is not worth your time to spend a lot of time doing data entry when a bookkeeper can do it much more effectively and efficiently. If you get too far behind on your paperwork it is also difficult to know where your business is financially and that can be dangerous.

No job is complete until the paperwork is done. You work hard on your business. Don’t let it get off course by not keeping track of your finances.
